Munich, September 27, 2023 - The Munich-based software manufacturer InLoox has optimized its project management platform in the area of resource management, added a new AI function to task management, and accelerated task-related dashboards in reporting by a factor of 10 in terms of loading and response time. With InLoox 11.4, companies can further increase their productivity. Time can be saved through the AI-supported analysis of email content and its automated further processing in task planning. And since project managers and project members can plan their workload and capacities more precisely and flexibly, the quality of decisions made in resource management improves.

Due to the improved user interface, especially the resource overview in InLoox is now more comfortable to use and can be adjusted individually. The resource overview can be displayed in the resolution levels hour, day, week or month. And to get a customized view of the team members' workload, project managers can now choose whether to use predefined time spans or individually selected data from the calendar when viewing the time frame.

In addition, custom layout settings already selected by users are now automatically saved in the solution. Personalized views such as selected columns or split views therefore no longer have to be set manually each time.

  

Holistic workload view: project level and integration of Microsoft 365 calendar data

In InLoox 11.4, the workload view has been optimized and enhanced to provide users with a clear overall picture. With the newly introduced project level, projects and their associated tasks can be broken down more clearly. For example, when selecting a resource, it is possible to break down how it is allocated to the various projects and furthermore display the total workload across all projects. Another new feature is the intuitive fill level indicator, which shows the level of utilization at a glance.

As one of the most important features, InLoox 11.4 offers an extended integration with the Outlook account for the resource overview. With Microsoft 365 calendar synchronization, Outlook appointments of the entire team can now be taken into account for resource allocation, allowing for a more realistic assessment of availability and utilization. In order for users to take advantage of this feature, the organization's Office 365 account must be linked to InLoox - which the administrator can quickly and easily set up in the InLoox settings. Finally, the synchronized appointments are displayed in the Resources overview in the Outlook Appointments row. They include information about the start, end and thus also the duration of the appointment - which corresponds to the effort.

  

Save time with AI-based automated task scheduling

Now, for the first time, emails can be analyzed in InLoox with the help of artificial intelligence and tasks can be generated automatically. A typical use case are emails between team members that contain many tasks, for example in the context of handovers during vacation replacements. The AI power in InLoox 11.4 now makes it possible to analyze the content of emails, capturing the subject and the first 2,000 characters. This extracts the various instructions and generates concrete task suggestions. These also include an estimate of the time needed to complete each task and a recommended completion date. The suggested tasks can be easily adopted and integrated into ongoing projects.

"Companies can save themselves the time-consuming manual task planning in the future with the AI power in InLoox," says InLoox co-founder and CEO Dr. Andreas Tremel. "To comply with European data protection regulations, we use the Azure Open AI service with data centers in the EU. In addition, we have a special supplementary agreement with Microsoft that ensures that the data you enter is neither recorded nor used for model training. Azure AI Studio only processes the data at the time of the request. This data is forgotten by the model immediately after processing, without being stored."
